Start with the attendee list, not the venue photo
Group people by the trip they actually take. A speaker leaving Newark, a team walking from a Midtown hotel, and guests who only need a ride home are three movements. For each one, send the pickup address, the headcount, the bag or exhibit items, and the time they must be through the venue door. Simultaneous pickups at different hotels need more than one car.
Arrival window and departure window
Ask the organizer which entrance staff and attendees should use, and whether that door changes after registration closes. Build the pickup time backward from that entrance, including walking and badge lines you already know about. For the end of the program, name a return meeting point that is not the drop-off curb if the street will be crowded. One coordinator, not every attendee, should be the person who tells the booking contact that a wave is ready.
Which vehicle, and what the hours cost
A sedan starts at $120 an hour, an SUV at $150, an S-Class at $230 and a Sprinter at $240, with a three-hour minimum. Three hours therefore starts at $360, $450, $690 or $720 before tolls, parking and extra time. Use a Sprinter when one group should ride together, and confirm the assigned seating and luggage layout before you assign names to seats. If the van would sit empty during a keynote, compare that hold with a later return transfer. The Sprinter photo does not set the passenger count.
Business group versus a social event
For a conference, offsite or client dinner, group the attendee list by pickup location and required arrival time. Send the organizer's current entrance instructions for venues such as Javits; passenger pickup can differ from delivery access. Wedding and private-event transportation can be planned around the ceremony or celebration schedule.
Airports on the same day
Keep flight arrivals on their own lines of the plan. People landing at different terminals, or even the same terminal an hour apart, rarely become one curb pickup. Say whether early arrivals should wait together or ride as they are ready. Luggage that has to reach a hotel before the session is another stop, and it belongs in the quote.

How is this different from special event transportation?
This page is for business groups, multiple vehicles and a venue departure window. Special events covers social plans such as concerts, galas and games.
Can one Sprinter collect three hotels at once?
Only as a sequence you set before the quote. Three hotels at the same minute need three vehicles.
Do you include exhibit crates and display cases?
Describe the items and the entrance the organizer assigned. Passenger cars are not a freight service, and a dock appointment is not assumed.
What does a three-hour Sprinter hold cost at the published start?
$240 an hour times three hours is $720 before tolls, parking and any time past the reservation. It is not a per-person shuttle fare.
Who should approve a late program?
Name one coordinator on the booking. Attendees should know whether they may request extra time or only ride.
