Whose wedding trip this is
The couple, the party and the guests often need different cars at different times.
| Choice | Fits when | Settle before booking |
|---|---|---|
| Couple and photos | One vehicle stays through portraits and the ceremony door. | Hourly service covers the wait. Include the three-hour minimum. |
| Wedding party | Several people must arrive together. | Confirm Sprinter or SUV seating for that headcount and the garment bags. |
| Guest flights | People land at different terminals. | Keep those transfers off the ceremony shuttle unless they are truly ready together. |
Create a passenger movement list
Separate the couple, wedding party, family and other guests into the actual trips needed. Include bags, mobility requirements and child-seat requests. Confirm vehicle configuration before assigning passengers; a photograph of a van does not establish its seating or luggage capacity.
Venues, photographs and waiting
Ask each venue for its guest arrival entrance and vehicle access instructions. Include time for boarding, clothing, photographs and walking to the ceremony space. A photo stop or wait between venues belongs on the itinerary and may change whether an hourly booking is appropriate. Hourly service has a three-hour minimum. If the car is not needed during the celebration, compare that hold with a separately reserved return pickup.
After the reception
Arrange the pickup window and destination for each return group. Identify a coordinator other than the couple who can confirm readiness and approve changes. If guests are staying at several hotels, quote the sequence rather than assuming one vehicle can serve simultaneous departures.
Guest airport transfers
Keep guest flight arrivals separate from the wedding-day shuttle plan. Different terminals and baggage delays can prevent a group from being ready at one time. Confirm whether guests should wait together or use separate reservations before choosing the vehicle count.
A coordinator who is not the couple
Name someone who can answer the phone during the ceremony and the reception. The couple should not be the only contact for a late guest bus or a changed hotel stop.
Each venue needs the guest arrival door from the site, not the photo on the invitation. If guests sleep at several hotels, the return is a sequence or several cars. One vehicle cannot be at two hotels at the departure minute. Child seats, older relatives who need extra boarding time, and dresses that cannot be crushed belong on the list before the class is chosen.

Use the chart when a vehicle is retained for photos and venues. Guest airport rides and a simple ceremony drop-off are quoted as the trips they are.
A few useful details
Questions before booking
When is the trip confirmed?
Wedding transport is confirmed when each movement you need, the vehicle for that movement and the price are on the confirmation. Guest flights are not included in the couple’s car unless they are listed.
Can one Sprinter do the ceremony and every guest airport pickup?
Not if those things happen at the same time or the flights are staggered. Separate the ceremony vehicle from guest flights unless the schedule truly overlaps.
Are decorations and a champagne setup included?
Only if they are agreed in the confirmation. Ask before you reserve. The hourly class rates are for the vehicle and chauffeur, not event production.
