NYC Hotel to Venue Transportation Guide
For a hotel-to-venue transfer, plan the luggage and guest assembly before choosing the pickup time. Quote the return from the event as a separate movement unless the car is retained hourly.

Hotel to the event, and back or not
The venue door is not the hotel door.

Make the hotel pickup ready
Confirm the entrance with hotel staff and have guests collect bags or stored items before boarding time. For several rooms, choose a group meeting point inside and a coordinator who can confirm the party is complete. Avoid making the curb pickup depend on unfinished checkout.
Use the venue’s guest entrance
Ask the organizer which entrance is in use and how early guests should arrive. Include time for walking, ticket checks or registration after drop-off. A large venue address alone may lead to the wrong side of the building.
Plan for different return groups
Count who is traveling on the return, since some guests may leave early or join later. Assign each destination and pickup window to the correct reservation. If the party splits, do not assume the same vehicle can make simultaneous hotel returns.
Choose transfer or hourly service
Separate transfers suit known pickup times and destinations. Retaining a car may help when the evening has several stops, but its minimum, waiting and finish location need confirmation. Ask for the complete schedule in writing before treating the transport as arranged.
Garment bags and a lobby that is not the venue
If dresses or equipment must stay hanging in the car, say so before you choose sedan or SUV. A one-way drop-off ends at the venue and the bags go with you. A hotel that offers to hold coats is a different plan from a car that waits.
MSG, Javits, a Brooklyn pier and a downtown ballroom need the entrance on that event’s instructions. The hotel concierge may know a preferred door. Put that door on the reservation so the concierge and the chauffeur are not aiming at two places.
