NYC Private Aviation and Event Transportation Guide
A private-flight arrival followed by an event needs two coordinated plans: the FBO handoff and the venue arrival. Share the flight contact, itinerary and person authorized to approve changes.

FBO first, event second
Private aviation and a city event are two addresses.

The aviation handoff
Provide the FBO name and address supplied by the flight operator, tail number and expected arrival. Confirm where passengers meet the car. Do not assume ramp access, a particular handler or a commercial-terminal meeting process applies.
Aircraft timing and passenger readiness
Keep the booking contact informed of arrival changes through the agreed coordinator. Landing, baggage unloading and leaving the FBO can occur at different times. Ask when waiting begins and what happens if the passenger remains at the FBO after arrival.
Event entrance and intermediate stops
Send the guest entrance, required arrival time and any hotel or wardrobe stop. Include luggage and equipment that must remain with the party. A direct transfer ends at its destination; retained service through an event requires an hourly or complete-itinerary quote.
The return flight
Confirm the departure FBO and time with the flight team. Do not assume they match the arrival. Quote the return pickup and any waiting separately, and identify who can authorize a revised departure after the event.
Tail number, ready time, and the city door
A tail number helps the flight team match the aircraft. It does not tell the chauffeur which gate to drive through. Ask the operator where passengers will be standing and who announces ready time. Landing estimates move.
If several aircraft feed one gala, give each arrival its own car or an explicit plan to wait. The event’s guest entrance still needs the organizer’s note. Security staffing and credential access are not part of the car reservation.

Is a private flight the same as an HPN airline arrival?
No. Airline arrivals use the flight number. Private arrivals use the FBO address and the flight contact.
